Room Reservations


Please use the Bernhard Center to request a room before you reserve a room on this website. Click here to reserve a room in the Bernhard Center.

Registered Student Organizations who wish to request a class room or Kiva room may use the form below. If you are NOT a registered student organization; you must register on the SOAP website first.

Requests must be submitted a minimum of 5 business days prior to the scheduled meeting. Please allow up to 5 business days for a response. You will receive a response via email from Salp-Kivaroom@wmich.edu.

The Kiva room requires key. The Kiva key may be picked up in the SALP office the day prior to the event and must be returned the following day. If your event is on a weekend, you must pick up the key before Friday at 5 p.m. and return it to the SALP office on Monday before noon.

Academic Room Usage Policies and Procedures

  • Room requests within academic buildings must be initiated at least five (5) business days preceding the activity.
  • Smoking is allowed only in designated areas. Use of alcohol and/or controlled substances are not allowed in academic rooms. Food and/or drinks are also not allowed in academic rooms.
  • The individual requesting the room is required to have a copy of the form in hand the day of the event. Additionally, they will need a copy of this form when securing keys from appropriate building coordinators. Failure to do so may result in loss of access.
  • Use of academic rooms is free of charge to RSO's unless special services are requested. A charge will be assessed if excessive damage or misuse is reported following the use of a room.
  • The university reserves the right to disband any function if it affects campus safety and security.
    All academic rooms are to be left in the same condition as found; with desks, chairs and tables in their original positions.
  • It is understood that the individual making the request, jointly and severally, is responsible for the content at the location cited above, and that the individual making the request assumes responsibility and indemnify and hold harmless; Western Michigan University, it's Trustees, employees, and agents for any and all liability which may result from the activity/event cited above, including (by way of example and not by way of limitation) any judgment costs, attorney fees, discovery costs or other expenditures.
  • To request tables and chairs for events taking place in a lobby, be sure to contact Logistical Services.

Kiva Room Usage Policies and Procedures

  • No alcohol is allowed inside the Kiva room.
  • All chairs must rearranged back to where they were found.
  • At the end of the event all trash needs to be collected and taken out to the dumpster.
  • The Kiva room closes at midnight.
  • All academic room usage policies also apply.
